1. Who we are and what this policy covers

INTELLIX Tax LLC ("INTELLIX," "we," "us," or "our") provides tax preparation and related services. This Privacy Policy applies to information we handle through intellixtaxllc.com and in connection with inquiries and services. A signed engagement letter, consent, or another service-specific notice may provide additional terms for clients.

2. Information we collect

The information we collect depends on how you interact with us. It may include:

  • Contact and identity information, such as your name, email address, phone number, mailing address, and information you choose to include in a message.
  • Appointment information, such as your selected time and the details you provide when using our Google appointment link.
  • Client and tax information, such as tax forms, taxpayer identification information, income, deductions, filing status, dependent information, payment details, and other records needed to evaluate or perform services. Sensitive documents should be provided only through the approved secure client portal or another method we specifically authorize.
  • Website and device information, such as IP address, browser or device type, requested pages, referring page, date and time, and security or diagnostic logs that our hosting and security providers may process automatically.
  • Communication and transaction information, including correspondence, service history, engagement records, invoices, and payments if you become a client.

We collect information directly from you, from people you authorize, from service providers you choose to use, and as permitted or required by law.

3. How we use information

We may use information to:

  • respond to inquiries and schedule appointments;
  • evaluate, provide, administer, and improve our services;
  • prepare and file tax returns or perform other agreed work with your authorization;
  • communicate about your engagement, requests, deadlines, and account;
  • operate, secure, troubleshoot, and protect our website and systems;
  • detect or prevent fraud, misuse, and security incidents;
  • maintain business and tax-preparer records; and
  • comply with legal, professional, regulatory, and contractual obligations.

Tax return information is subject to special federal rules. We use and disclose it only as authorized by you or as otherwise permitted or required by law.

4. When we disclose information

We may disclose information to:

  • Service providers that support hosting, security, communications, appointment scheduling, secure document exchange, tax software, e-filing, payment processing, and business operations;
  • Tax authorities and financial institutions when needed to perform authorized services;
  • Professional advisers such as attorneys, accountants, insurers, or security specialists, subject to appropriate duties;
  • Government authorities or other parties when we reasonably believe disclosure is required by law or needed to protect rights, safety, systems, clients, or the public; and
  • A successor organization in connection with a proposed or completed merger, financing, sale, or transfer, subject to applicable confidentiality and legal requirements.

As of the effective date, we do not sell personal information or share it for cross-context behavioral advertising, and the website does not use advertising pixels or a website analytics service. We will update this policy and provide any required choices before materially changing those practices.

5. Third-party services and links

Our website links to services operated by others. Google processes information you submit when booking an appointment; Intuit processes information you submit through the secure client portal; and your email, phone, text-message, browser, and social-media providers process information under their own terms and privacy policies. We do not control those third-party services. Review their policies and use the secure client portal for sensitive tax documents.

6. Cookies and similar technology

INTELLIX does not currently place advertising or analytics cookies through this website. Our website host and security providers may use essential cookies, local storage, or similar technology and may process technical logs to deliver pages, maintain security, prevent abuse, and remember necessary settings. Browser controls may allow you to delete or block cookies, although doing so can affect website functions.

7. Retention and security

We retain information only as long as reasonably needed for the purposes described above, our engagement with you, recordkeeping, dispute resolution, security, and legal or professional obligations. Retention periods vary by record type and context.

We use reasonable administrative, technical, and physical safeguards designed to protect information. No system, transmission, or storage method is completely secure, so we cannot guarantee absolute security.

8. Your choices and California privacy rights

You may ask us to update your contact information or stop nonessential communications. Depending on where you live and whether a privacy law applies to us, you may also have rights to request access to, correction of, or deletion of personal information; information about collection and disclosure; or limits on certain uses of sensitive information. You may also have the right not to receive discriminatory treatment for exercising a privacy right.

To submit a request, email info@intellixtaxllc.com with the subject "Privacy Request" or call (714) 681-2972. We may need to verify your identity and authority before acting. An authorized agent may submit a request where allowed by law, but we may request proof of authorization. Some information may be exempt from a request, including records we must keep or information governed by other laws.

9. Children

This website is not directed to children under 13, and we do not knowingly collect personal information from children through the website. A parent or guardian who believes a child submitted information may contact us to request appropriate action.
